Encouraging more professional organizational governance, the UMBY Psychology Team accompanies the Barkasmal Foundation to prepare a position analysis

Managing a social institution requires not only a humanitarian commitment but also structured and sustainable human resource management. To address this need, the Community Service Team of the Psychology Study Program at Mercu Buana University Yogyakarta (UMBY) designed an intensive mentoring program for the management of the Barkasmal Nusantara Foundation in Sleman, Yogyakarta Special Region.

The Community Service (PkM) program, titled "Strengthening Human Resource Management through Organizational Structure Development and Job Analysis Training at the Barkasmal Yogyakarta Foundation," was held in two phases, on July 6 and 13, 2026.

Located at the foundation's secretariat at Jl. Turonggosari II No. 23B, Kentungan, Condongcatur, Depok District, Sleman Regency, the activity was attended by all 13 members of the foundation's management. The UMBY community service team is led by Davita Variani, M.Psi., Psychologist, along with Nia Kusuma Wardhani, M.Psi., Psychologist, and assisted by three UMBY Psychology students.

The Barkasmal Nusantara Foundation is a social institution engaged in education and the management of used goods. In its daily operations, the foundation faces challenges related to the division of tasks that have not been systematically documented.

This situation has the potential to create unclear roles and overlapping responsibilities. For example, a manager often has to carry out administrative tasks while also coordinating field activities. At the same time, there are other organizational functions that do not yet have a permanent person in charge.

Job analysis is a crucial tool for addressing this issue. This document provides clarity regarding the duties, responsibilities, authority, work relationships, and competency standards required for each position, enabling the organization's operations to run more effectively.

In the first session, Monday, July 6, 2026, the activity began with a pre-test to gauge participants' initial understanding, followed by a presentation by Nia Kusuma Wardhani on the importance of job descriptions and job specifications. Foundation administrators were guided in identifying primary duties, authorities, and competencies using the What, How, Why, and Skills Involved approach using a prepared job analysis form.

The second meeting, Monday, July 13, 2026, focused on finalizing the Barkasmal Nusantara Foundation's organizational structure and discussing the draft job analysis document. Through a Focus Group Discussion (FGD) led by the community service team, each position was reviewed collaboratively to ensure that the formulation of duties and authorities aligned with the organization's actual needs. The entire training series concluded with a post-test to gauge the administrators' understanding.

The Chair of the Barkasmal Foundation, Dori Saputra, S.H.I., expressed his deepest appreciation for the initiative and guidance provided by the UMBY academic team.

"We've been running the foundation's activities based on needs in the field, so many tasks have actually been carried out but never been formalized in writing. Through this mentoring, we have the opportunity to sit down together, discuss our respective roles, and establish a clearer division of tasks. We hope this document can truly serve as a guideline for improved coordination among administrators and a more focused implementation of the foundation's programs," said Dori Saputra.

Meanwhile, the Head of the UMBY Community Service Team, Davita Variani, M.Psi., Psychologist, emphasized that human resource management is a crucial foundation for the sustainability of the social mission.

"Many social organizations thrive on the passion of their administrators. However, as the organization grows, the division of tasks also needs to be more clearly defined so that everyone understands their roles. Through this mentoring, we not only share materials but also assist participants in developing job analyses that truly align with the conditions at the Barkasmal Foundation. We hope that the results can be directly used as guidelines in carrying out the organization's daily activities," explained Davita.

As a concrete manifestation of this program, the Barkasmal Foundation now officially has an organizational structure document and a draft job analysis for each position, covering job descriptions, authorities, work relationships, and competency standards. This document will serve as a crucial reference for the division of labor and appropriate placement of human resources, development of management competencies, regular evaluation of organizational performance, and creation of a healthier and more focused work environment.

This Community Service activity demonstrates the implementation of the Tri Dharma of Higher Education at Mercu Buana University Yogyakarta, specifically in applying Industrial and Organizational Psychology (PIO) knowledge to strengthen the capacity of community organizations.
